Part A: Parents and guardians
1. What you are agreeing to
When you finish signing up you agree to these terms, to the privacy notice, and to the choices you make on the Permissions screen. You can read all three at any time inside the app. If you do not agree, do not finish signing up: talk to your school instead.
2. Your school is in charge of your information
Your school decides what is recorded about your child and why. MyLittleLink runs the app for your school. Questions about your information go to your school's Information Officer first (shown on the Permissions screen), and you can also contact us at privacy@mylittlelink.com. The privacy notice explains everything in detail.
3. Your account
3.1Your school invites you. The invitation link works once and for 7 days.
3.2You sign in with your email address and a password you choose. Keep your password to yourself. Everything done with your account counts as done by you, unless you told the school your account was misused.
3.3If you get your password wrong 5 times in a row you are locked out for 15 minutes. You can reset your password by email; the reset link works once, for 60 minutes.
3.4You stay signed in for up to 30 days on a phone you use regularly. Sign out on a phone that is not yours.
3.5You must be the child's parent, guardian, or a person the parent has authorised, and you must be an adult. If you are linked to a child by mistake, tell the school at once.
4. The rules of the app
4.1Talk to the school inside the app. Messages to your child's teacher and principal stay in MyLittleLink. Do not ask a teacher for their phone number and do not give yours in a message. The app never shows a phone number between a parent and a member of staff, with one exception: the school owner, or a principal the owner allows, can open your mobile number from your child's family card to phone you, and the app records who opened it and when, for the school owner to see. The app never gives your number to another parent unless you and that parent both agree, privately, to swap numbers; the app records the swap, and either of you can end it. The app will hold a message that contains a phone number.
4.2The principal sees every message. Nothing between you and a teacher is private from the principal or the school owner. That is how the school keeps children and staff safe.
4.3Photos you send. You may send a photo to your child's teacher or to the principal in a direct conversation. The photo may not show any child other than your own. It is seen by your child's other guardians, the teacher, and the principal. You may not send videos.
4.4Photos you receive. Photos of your child in the app are for you and your family. If your child is in a group photo, other children are in it too, and their families trust you with it. Do not post a photo from the app on social media or send it to people outside your family. Marketing use of your own child's photo is a choice you make on the Permissions screen; other families' children are never yours to share.
4.5Be truthful. Allergy details, medical information, emergency contacts and who may collect your child are relied on for your child's safety. Keep them up to date.
4.6Be decent. No abuse, threats, harassment or discrimination in messages or comments. The school may remove a comment and may report serious conduct to the authorities.
4.7Respect quiet hours. Staff are not expected to answer outside school hours. Urgent matters follow the urgent process in the app, not a late-night message.
5. Your choices on the Permissions screen
5.1The daily photo feed is part of enrolling. Your child will appear in photos and short videos of the day, sometimes in a photo that is mainly of another child. This cannot be switched off while your child is enrolled.
5.2Everything else is your choice, and you can change it at any time: marketing use of your child's photo; a photo of a person you authorise to collect your child; emergency medical care if you cannot be reached; growth measurements.
5.3Every choice is recorded with the date and the exact words you saw. Changing your mind adds a new record; the old one stays, so the school can always show what was agreed and when.
5.4The urgent WhatsApp nudge (privacy notice section 7) is not one of these choices. It is sent to protect your child, so there is no switch for it; you may object to it in writing to our Information Officer.
6. Medicine during the school day
If your child needs medicine at school, a teacher sends you a request in the app with the medicine, the dose and the reason. You decide. If you do not answer within 10 minutes, the principal may approve it for you so that your child does not wait. In a genuine emergency (for example a prescribed inhaler) a staff member may give the medicine first and you are told at once; you then acknowledge it in the app. The full wording, which you accept at sign-up, is in section 8 of these terms.
7. Fees (only if your school uses the app for fees)
Your school may send you fee statements and invoices through the app. You pay your school directly, in the way your school tells you: nobody pays through the app, and the money never comes to us. Questions about fees go to the school.
8. Medication wording you accept at sign-up
Giving your child medicine during the day
If your child needs medicine while at school, a teacher sends you a request in the app with the medicine, the dose and the reason. You decide. You can approve, decline (with a reason), or ask a question. You are told straight away, every time.
Sometimes a parent cannot be reached in the moment, and a child should not have to wait for care. So you agree that if you do not answer a medication request within 10 minutes, the school principal (or the school owner) may approve it on your behalf so that the medicine can be given. If you answer inside the 10 minutes, your answer is final and cannot be overridden. Every approval on your behalf is recorded, showing who approved it and when, and you are told.
Emergencies are different. If your child needs medicine that truly cannot wait (for example a prescribed inhaler, an allergy pen or other emergency medicine), a staff member may give it at once and record it. You and the principal are told immediately. You are then asked to acknowledge in the app that you have seen it. An emergency dose that has already been given cannot be declined, because it has already happened; if you have a concern, message the principal.
The school gives medicine only from the instructions you have provided. Medicine details are shown only to you and to the staff who need them, and every time someone opens them the app records it.
I understand and agree that, if I do not answer a medication request within 10 minutes, the principal or owner may approve it on my behalf, and that an emergency dose may be given first and I will be asked to acknowledge it.
9. Leaving
9.1If your child leaves the school, the school removes your access. Your child's records stay with the school for the periods in the privacy notice. You can ask the school for a copy first, and you can ask for erasure (which the privacy notice explains).
9.2You can close your account at any time by asking the school. A parent who is also a member of staff is offboarded as staff first.
10. Our responsibility to you
10.1We provide the app with reasonable skill and care. We do not promise it will never be down: a phone with no signal, load shedding at the school, or a fault on our side can delay a message. In an emergency phone the school.
10.2The information in the app is recorded by your school's staff. We do not check it and are not responsible for what the school records or does.
10.3Nothing in these terms takes away any right you have under the Consumer Protection Act, POPIA or any other law, and nothing limits our liability for gross negligence, fraud, or death or injury caused by our negligence.
11. Changes
If these terms change in a way that affects you, the school tells you in the app before it takes effect. Continuing to use the app after that is acceptance.

Part B: Staff and instructors
1. Your account
1.1The school gives you a staff account. You sign in with a link emailed to you; the link works once and for 24 hours. There is no password.
1.2Everything you record in the app is recorded in your name, permanently. Record only what is true, at the time it happened.
1.3Never share your sign-in link. Sign out on a shared or kiosk device.
2. The rules
2.1In-app only. Do not give a parent your phone number, do not ask for theirs, and do not move a conversation about a child to WhatsApp, SMS or a personal channel. There are two exceptions: the school's own emergency process, and the family card. The school owner, and a principal the owner allows, can open a parent's mobile number from the child's family card to phone them; the app records every time that happens, and the school owner can see it. A teacher never can.
2.2The principal and owner see every message you send to or receive from a parent.
2.3Photos and videos of children are taken and shared only through the app, with every child in the frame tagged truthfully. Do not save a child's photo to your phone's gallery, do not share it anywhere else, and do not use your own camera app for school photos. The app tells you before you post which children will block a photo; do not untag a child to get around it.
2.4Health information (allergies, medication, medical notes) is opened only when you need it for a child's care, and the app records every time you open it.
2.5Incidents. Record an incident for the child it happened to. If two children were involved, use the two-children option: each family is told about its own child and is never told the other child's name. Do not type the other child's name in the note.
2.6Medication. Follow the request-and-approve flow. Record an emergency dose immediately after giving it. Never record a dose you did not give.
2.7Your own access. Use the app only for the children and classes assigned to you. Do not look up other children out of curiosity.
2.8Leaving the school. Your access ends when the school removes it. The records you made stay with the school, in your name, as its safeguarding record.
3. Clocking in
If your school uses clock-in on your own phone with location checking, the separate Staff Location Notice applies and is shown to you before your first clock-in. In short: your location at the moment of clocking in is recorded; a clock-in from outside the school is recorded and flagged for the principal to look at, never blocked; and you have the right to see and query the record.
4. Your information
The privacy notice section 2.3 lists what the app holds about you. Requests to see or correct it go to the school's Information Officer.
5. Acceptance
You accept Part B on a one-time screen the first time you sign in. The app records when you accepted and which version you accepted. You are asked again when these terms change. The school is responsible for having told you these rules as part of your work.
